Business, stores, products, inventory and orders — the model everything else builds on.

The ladder#

1Business — your whole account: one company, one owner, one plan, one currency.

2Stores — each shop under the business. You must always keep at least one.

3Catalogue — one shared list of products and categories, used by every store.

4Inventory — stock, counted per product per store. The catalogue says what; inventory says how many, where.

5Orders — a sale in one store: items, prices, payment and fulfilment.

6Invoices, returns & refunds — the paperwork of the sale, and the way it unwinds.

The idea most people miss#

A product is business-wide; its stock is per store. Adding a product to the catalogue does not put it on any shelf — you link it to a store and give it a quantity, and that link is its inventory there. Twenty stores can sell the same product, each with its own count. This one idea explains why Products and Inventory are separate sections of the app — the Products & inventory hub sorts you to the right one.

People and permissions#

The Administrator is the account owner — the person who signed up. There is exactly one, and only they manage billing.
Staff are people you invite. Each staff member holds roles, and roles are the only thing that grants permissions. Five roles ship built in — Admin, Store Admin, Cashier, Inventory Manager and Reports Viewer — and higher plans let you author your own.
A staff member can be limited to particular stores.

Money things worth naming#

A pro-forma invoice is a quote; the issued invoice is the tax document, minted once at payment — and it never changes. Corrections create a new invoice that supersedes it.
A return brings goods back; a refund sends money back — never more than was paid.
Store credit is a refund kept for the customer to spend on a later order — exactly once.
Discounts are computed by the server, identically on every channel. No screen does its own price arithmetic, so the total you quote is the total that is stored.

Plans and seats#

Your plan decides which features are on and how many stores and staff seats are included. On paid plans, extra seats are bought per unit and can be released again. The Free plan sells no extras and has a monthly order allowance. Details live in Plans & billing.
