Product fields reference

Every product field and the rules that can stop a save.

This page lists the product fields and the rules the app checks when you save. Fields not listed here, such as brand, model, weight, dimensions, tags and warranty, are free text for display and reports.

Who can do this: the same people who can create a product. Everyone else can read these fields.

Identity#

Field	Rules
Product name	Required, at least 2 characters. Unique in your business, ignoring capital letters. Orders keep the name they were sold with, so renaming later does not change old orders.
SKU	Optional. Created for you when empty. If you type one: exactly 6 digits, unique across the business, including every variant's SKU.
Barcode	Optional. Created for you when empty, as a valid EAN-13. If you type one: exactly 13 digits, unique across the business. A wrong EAN-13 check digit only gives a warning, so your own numbering still works.
Variants	Each variant has its own name (unique within the product), SKU, barcode, price and cost. The same business-wide rules apply to its SKU and barcode. When a product has variants, the variant's price is what is charged.

Pricing#

Field	Rules
Pricing strategy	Fixed price (the normal case), Open price (typed at the till) or By weight / volume (a price per unit). Composite products use Dynamic roll-up price or Static manual price instead. See Product types.
Retail price / Price per unit	A fixed-price product must have a price above zero. A by-weight product needs a price per unit above zero. If the price is decided at the till, choose Open price.
MSRP	Optional. A compare-at price.
Cost per item	Optional. Used only for profit reports. Customers never see it.
Allow price override at register	Lets staff change this product's price on an order line.
Limit quantities	Optional smallest and largest quantity per order. The smallest cannot be more than the largest.
Item is taxable and Tax rate (%)	The tax is added at checkout, on the line amount after discounts. The server works it out.

Units and measured quantities#

Field	Rules
Base unit measure	What one of this product is: piece, kilogram, gram, meter, litre and so on. Stock, thresholds and history are shown in this unit.
Unit value	How much of the base unit one item holds, for example 500 for a 500 g pack. Must be above zero.
Allow fractional quantities	Lets orders, stock changes and returns use decimal quantities, such as 2.55 kg. Not available on serialized products.

Stock behaviour#

Field	Rules
Track inventory	On by default. Serialized products always track. Pre-order and customized products cannot track.
Low stock below	In this product's own unit, so 10 means ten pieces for one product and ten kilograms for another. Empty means "use the store default". Zero means "never warn me about this product". These are different. Once you save a number, you can change it to 0 but not back to empty.
Enable batch tracking	Needs Track inventory. Not available on composite products. See Batches & expiry.
Track expiration dates	Needs batch tracking.
Shelf life alert (days)	Optional. An earlier warning for this product's expiring stock.

Everything else#

Field	Rules
Status	Active, Draft or Archived. A label you control, not a lock.
Images	One main image and up to four more, from the image library.
Categories	Any number, from the category tree.
Description	Free text shown on the product's page.

Watch out#

Troubleshooting#

Symptom	Cause	Fix
"SKU must be exactly 6 digits."	The SKU has letters or the wrong length.	Use 6 digits, or leave it empty.
The barcode is refused.	It is not 13 digits, or another product or variant has it.	Fix the length, or leave it empty for a new one.
Low stock warnings stopped for one product.	Its Low stock below is 0.	Set a number above 0.
You cannot turn on Allow fractional quantities.	The product is serialized.	Serial numbers are whole units by design.
