Quarantine

Quarantine is the step between "on the shelf" and "written off". It is for stock you still hold but must not sell, such as a returned item waiting for inspection or a delivery that looks wrong. Held units stay in your stock on hand but leave Available, so nothing can sell them while you decide.

Who can do this: anyone who can view inventory can see the Quarantine page. Holding stock by hand needs the inventory add permission. Releasing and settling need the inventory edit permission. The Administrator and the Admin, Store Admin and Inventory Manager roles have both.

How stock gets held#

• From a return. When a return's decision says the goods need inspection, the system holds them when the return is completed. The hold names the return as its source.
• By hand. You pick the product, the quantity and a reason. See the steps below.

Hold stock by hand#

1. Select a store in the top bar.
2. Go to Inventory > Quarantine stock and select Add to quarantine.
3. Pick the product. For a batch-tracked product, pick the batch the stock is held from. For a serialized product, pick the serial numbers.
4. Enter the quantity and the Reason for quarantine, such as Defective unit or Damaged in transit.
5. Save the hold.

Settle a hold#

Open the menu on a pending hold and choose one of four actions. Each needs a reason, and each result has its own tab.

You can settle part of a hold. For example, release half and dispose of the rest. The remainder stays held. Settled holds stay on their tab as the record of what you decided.

Behind the scenes#

• Holds from returns share one batch. When several returns send the same product to quarantine, the units join one quarantine batch for that product, and the latest return's details are added to it.
• Batch-tracked holds keep their batch. A hand hold on a batch-tracked product is split out of a named batch, so you always know which batch is suspect.
