Stock history
Available on Startup and above
The record of every stock movement: what changed, by how much, why, and who did it.
While your plan includes stock history, every stock movement writes a line to a record that cannot be changed. This covers sales, intakes, adjustments and holds. The line is written together with the movement itself. You cannot move stock without leaving a line, and you cannot edit or delete one.
Who can do this: anyone who can view inventory. Stock history depends on your plan (see the badge at the top of the page), and your plan sets how far back it goes.
Before you start#
- Recording starts when your plan includes it. On a plan without stock history, no lines are written at all. Upgrading does not fill in the past. When recording started recently, the history view shows the start date.
- Select the store in the top bar. History is kept per store.
Open the history#
- Go to Inventory > Inventory management.
- On the product's row, open the menu and select View history.
- Choose a date range.
- Switch between Chart view and Table view.
For a product with variants, pick a variant at the top. History is kept per variant.
Read the history#
- Chart view shows stock on hand over time. Each movement is a point on the line. The tiles show Current SOH, Peak SOH, Min SOH and Average SOH for the range.
- Table view has one row per movement: the Action type, the amount in the product's own unit, the reason, and Performed by. When an order moved the stock, the reason names the order.
For a product sold by measure, amounts keep their decimals, such as 2.55 kg.
The table also shows movements nobody typed: sales, stock put back after a cancelled order, and quarantine holds and releases. The system's own actions are recorded the same way as yours.
Behind the scenes#
- The name is kept as it was. Performed by shows the name recorded at the time of the movement. It does not change if the person is renamed or leaves.
- How long lines are kept. Your plan keeps a set number of days. If you move to a plan with a shorter window, or one without stock history, older lines are deleted once a grace period ends. You can export the history before then. See Exports & reports.
Stock history and the activity log#
The activity log answers "who did what" across the whole business. Stock history answers "what happened to this product's stock, and how much". The activity log records who touched stock but never the amount. For stock questions, use stock history.
